1. Who we are

This privacy policy applies to Petro Sep Corporation ("Petro Sep," "we," "us"), with global headquarters in Toronto (Mississauga), Ontario, Canada, and regional operations in Malaysia, China, Saudi Arabia, and the United States. This policy covers personal information collected through petrosep.com, the consultation forms on the site, and email or telephone inquiries that result.

2. Information we collect

We collect personal information in three ways:

  • You provide it directly. When you submit a consultation request, an RFQ, or a spec-sheet download form, we collect the fields you fill in (name, work email, company, role, industry, problem description, and any optional fields you choose to share).
  • You contact us by email or phone. Anything you share in those conversations becomes part of our project records.
  • Automatic collection, with your consent. If you accept analytics cookies on our cookie banner, we use Google Analytics (GA4) to understand how visitors use the site. GA4 then collects data such as IP address, device, browser, referring URL, and pages visited. We do not link this data to individual identities, and no analytics cookies are set if you decline.

3. How we use it

We use personal information to:

  • Respond to your consultation, RFQ, or download requests.
  • Engage in technical and commercial discussions about your project.
  • Maintain project records and contractual documentation, including any NDA signed during the engagement.
  • Improve the website (analytics, performance, content prioritization).

We do not sell or trade personal information. We do not share it with parties outside Petro Sep Corporation, except where required by law or by the terms of a project contract.

4. Cookies and tracking

When you first visit, a cookie banner lets you accept or decline analytics cookies. Analytics cookies for Google Analytics 4 are set only if you accept; if you decline, none are set. Your choice is remembered in a small first-party cookie. The site may also use cookies necessary for basic functionality and for spam protection on our forms (for example Cloudflare Turnstile, where enabled). You can clear cookies in your browser at any time without affecting core site functionality.

We do not use advertising cookies or third-party tracking pixels.

5. Data retention

Consultation requests and RFQ submissions are retained for the duration of the engagement plus a reasonable period for follow-up (typically two years). Data tied to active project contracts is retained per the contract terms and applicable regulatory requirements.

6. Your rights

Depending on your jurisdiction (Canada PIPEDA, EU GDPR, California CCPA, and others), you have rights including:

  • Access to the personal information we hold about you.
  • Correction of inaccurate information.
  • Deletion (subject to contractual and legal retention requirements).
  • Withdrawal of consent for analytics collection.
  • Lodging a complaint with your local data protection authority.

7. International transfers

Petro Sep operates in five countries. Personal information you share may be transferred to and processed in any of them, subject to appropriate contractual and technical safeguards.
